How do I become an exhibitor or sponsor for CBIE’s annual conference?
To secure a booth at CBIE’s national conference, purchase a Sponsor or Exhibitor package via our online store. Once payment has been received, CBIE will follow up with more details including access to the Exhibitor Portal (Pheedloop) where organizations can select their booth location within the exhibit hall.
What payment methods are accepted by CBIE?
CBIE accepts payment by VISA, Mastercard, and wire transfer. Payment instructions can be found in the payment portal.
Can I purchase an additional booth?
Exhibitors may purchase one (1) additional booth to expand their footprint to 10×20 feet. Additional booths are available while quantities last for $2,800 CAD. Please note that additional booths cannot be combined with sponsorship packages.
What happens if I need to cancel my participation?
Sponsor or exhibitor packages cancelled on or before the cut-off date of July 31, 2026 at 5:00PM Eastern Time (Ottawa local time) shall receive a full refund of their exhibitor or sponsor fee, minus a 10% administrative fee. Any cancellations made after the cut-off-date are non-refundable. All cancellation requests must be submitted in writing to CBIE via conference-congres@cbie.ca or pcapuano@cbie.ca.
Additional Details for Sponsors and Exhibitors
Exhibitor Portal
Logistics, inclusions, and information are all coordinated via the Exhibitor Portal. Once you are a confirmed exhibitor or a sponsor, you will be sent an Exhibitor Portal welcome email with login instructions.
Exhibitor Tasks
Exhibitor Tasks are listed and can be completed within the Exhibitor Portal. These tasks allow exhibitors to submit to CBIE the necessary information to promote each organization. Failure to complete these tasks by the deadlines may result in a delay or your entitlements being unfulfilled.
Graphics and Logos
Sponsors are required to submit logos and ad graphics to CBIE via the Exhibitor Portal. Please ensure you submit your logo and graphics as PNG, EPS or AI.
Exhibition Floorplan
The CBIE2026 Exhibition Hall will be located in Canada Hall 2 of the Rogers Centre. Exhibitors and Sponsors will select their booth location via the Exhibitor Portal based on the order in which they have made their purchase. Premium booth locations will be reserved for Title and Diamond sponsor tiers and will be clearly indicated on the floorplan.
Promotion Toolkit
To help you promote your participation at the conference, CBIE will provide web banners and images you can display in your email signature, on your website, and social media.
Exhibitor Services
CBIE has partnered with Global Experience Specialists (GES) to coordinate logistics for the Exhibition Hall. GES will provide an Exhibitor Kit with access to an online ordering portal for the rental of additional furniture, displays, signage, decor etc. The full Exhibitor Kit will be available in the Exhibitor Portal.
Food + Beverage for Sampling
Food and beverage sampling is encouraged, especially during networking breaks and networking events in the exhibit hall. All food distributed within the convention center must be approved by the convention center food services department. For more information about ordering food and beverage at your booth, please contact CBIE.
Delegate Lists
All sponsors and exhibitors will receive the delegate list two weeks prior to the conference. Name, title, institution and email address will be included in the list. Due to the Canada Anti-Spam Law (CASL), CBIE requires delegates to opt into this mailing list when registering for the conference. Only those who have expressed consent will be included in the delegate list.
